Organizational Context 

The Operations Data Management Assistant will support the office in registration and data management area. As a key member of the Registration and Reporting teams, s/he will support all activities related to registration, which may also include functions related to reception, filing and data management and production of statistics and indicators. The incumbent will also provide counselling to, and responds to queries from, asylum seekers and refugees regarding UNHCR's registration and reception procedures, S/he liaises closely with other protection staff and partners to ensure timely identification and referral of persons of concern for protection follow up. The ODM Assistant may assist in compiling and analysing information related to registration activities in the operation. The ODM Assistant may also provide interpretation and/or translation services in cases for which s/he has the required language competencies. S/he will also play a key role in the implementation the Level 3 registration exercise and in ensuring that the office meets reporting deadlines and produces quality data and analyses for different communication and protection products.

The ODM Assistant will be stationed in Sub Office Shire and will report to ODM Associate will be under the overall supervision of the Senior Protection Officer. 

Responsibility 

  • Enter data mainly related to asylum seekers, refugees and other persons of concern to UNHCR into the computer database.
  • Maintain accurate and up-to date records and data related to all individual registration cases.
  • Identify persons with specific needs and ensure timely referral to protection follow-up as required.
  • Collaborate with protection staff and/or partners in the delivery of assistance and programming, including provision of identity and entitlement documentation.
  • Draft correspondence and reports relating to registration activities in the operation, when required
  • Prepare reports and project documents by providing information, preparing tables, indicators and drafting routine correspondence and reports.
  • Provide counselling to, and responds to queries from, asylum seekers and refugees regarding UNHCR's registration procedures and their rights and entitlements.
  • Conduct registration interviews when required in accordance with registration standards and guidance.
  • Act as interpreter in the exchange of routine information and translate routine documents and correspondence as and when required.
  • Participate in community mobilization and information campaigns during registration and other similar exercises
  • Perform any other duties, as requested 

Essential Minimum Qualifications and Experience

  • Completion of the Secondary Education with post-secondary training/certificate in social sciences, Information Technology or related field.
  • Minimum 3 years of previous job experience relevant to the function
  • Knowledge of basic principles of international protection. 
  • Experience in data base management and programming languages/logics
  • Fluency in English and local language.
